Position Description

Direct reporting to and close collaboration with Managing Partners Stefan Naumov and Andrea Barbato.

The role will have multiple responsibilities but most importantly will concentrate on the following activities:

  • GENERAL
    • Supervision of all (commercial and technical) processes with regards to the administration and management of the properties in the designated portfolio, including improving efficiency
    • Close control / monitoring of the external property management
    • Identification of cost drivers, targeted optimization of service charge costs, optimization of service contracts on a case-by-case basis
    • Inventory analysis for the purpose of identifying optimization measures and value enhancement potential, deriving and formulating the necessary measures from this and monitoring their implementation
    • Tendering, retaining and controlling service providers
    • Coordination with external parties i.e. lawyers, tax advisers, banks on contractual issues and legal disputes
    • Structured document management
    • Being the key point of contact with investors’ portfolio managers on the strategic and selected day-to-day AM topics
    • Support of the investment team when acquiring new properties (commercial DD, rent reviews, preparing to take over asset post closing) or during sales process
  • LETTING
    • Active leasing management and marketing of the assets under management with the involvement of appropriate service providers (marketing and leasing)
    • Negotiation of leases or lease extensions
    • Regular maintenance and expansion of the (Berlin) leasing agents network
    • Ongoing review of lease terms and tenant specifications and benchmarking to market conditions
    • Permanent and close tenant support for the tenants in the assigned assets to ensure a convincing client management at all times
  • CAPEX / REDEVELOPMENT
    • Identification, coordination and control of tenant improvements and other capex measures to maintain or increase value.
    • Assembling the required external technical consultants (architects, project managers, specialist planners).
  • REPORTING / FINANCIAL ANALYSIS / BANKS
    • Prepare business plans and annual property budgets incl CAPEX.
    • Preparation and updating of the property cash flow, regular target/actual analysis of the property performance incl. explanation of the deviations
    • Preparation of investor reporting
    • Preparation of lender reporting
    • Close contact with lenders on the loan compliance/management (shared role with Finance Team)
